EFITX COACHING POLICY

Personal Training and Coaching Terms

Sections 1–8 apply to clients participating in a personal training program.

Sections 9–10 apply to all users participating in personal training, accepting workout assignments, receiving consulting services, or accessing coaching content.

Session Tracking

Clients should track serviced credits and sessions using the Client Credit Log in the EFitX online application.

Session Availability and Duration

Training sessions and trainers are not available at all times. In-person home-visit sessions are approximately 55 minutes long. Coaches generally spend 7–15 minutes creating workouts before each session, so the full 30 or 60 minutes billed may not always be spent in the client’s presence.

If the client is not present in the exercise area within 10 minutes of the scheduled start time, the client should message the coach to ask the coach to wait; the session clock has already begun. If the client does not send a late-arrival notice within 10 minutes of the start time, the coach may leave and charge the full 55 minutes. This is a “No Show.”

If the coach arrives late, either the client or coach may choose to complete the 55 minutes or end the session early if needed. The coach may prorate unused minutes or credits accordingly.

  • One-on-one sessions are 55 minutes long, billed at 60 credits, and limited to one participant.
  • Video-call sessions are 27 minutes long and are billed at 30 credits.
  • Buddy sessions are billed at 80 credits and are limited to two participants.

Rescheduling, Cancellations, and No-Shows

Advance bookings

Ongoing clients may schedule appointments verbally or electronically. The coach may confirm sessions one week in advance. Once confirmed, the client must notify the coach directly through the EFitX system, text message, email, telephone, or voicemail at least 12 hours before a scheduled appointment. Failure to provide 12 hours’ notice results in a charge equal to one-half of the missed session. This also applies to confirmed bookings made through the EFitX app.

There is no charge for a cancellation made at least 12 hours before the scheduled start. Cancellations within 12 hours require explicit confirmation of the 30-credit Late Action Cancellation charge.

Short-notice bookings

Appointments arranged directly with the coach and scheduled within 12 hours are short-notice bookings. Any client cancellation of a short-notice booking incurs the 30-credit Late Action Cancellation charge.

Three-Day Agreement Cancellation

A newly purchased agreement may be cancelled within three days of its purchase date. The client must provide written notice of the cancellation. All money paid will be refunded within 10 business days after the notice is received.

Transferable or Joint Agreements

With written notice, remaining training credits or sessions may be transferred to a spouse, family member, relative, or friend. Only spouses and family members may share sessions under one agreement. Buddy sessions are billed at a different rate, and this agreement applies to every participant in the program.

Renewal Policy

Early renewal is required to protect ongoing Personal Training time slots. Credit balance thresholds and minimum monthly usage are based on the billing household’s combined reserved slots per week.

Minimum required monthly household usage: use at least 420 credits for up to two weekly slots, 600 credits for three slots, or 900 credits for four slots. Count eligible credits used across all members on the same billing account.

For three slots, priority booking expires below 600 credits, renewal is recommended at 600–899, suggested at 900–1,199, and good standing begins at 1,200. Four-slot levels remain unchanged. Qualifying usage includes Personal Training, Assignment Requests, and other eligible add-on services used by household members.

6A. Client Definitions

Priority Client: A client with an ongoing program and dedicated reserved time slots.

Part-Time Client: Personal training sessions are scheduled on demand, usually on a weekly basis. Openings may be limited during peak seasons. This option is intended for clients who prefer occasional instructional coaching or refresher workouts.

Coaches may move Priority Clients to Part-Time Client status if the necessary obligations are not fulfilled accordingly.

Online-Only Client: Intended for intermediate clients who have equipment at home and need visual coaching and fitness consulting.

Expirations

All 20-session personal training packages expire 90 days after the first session is serviced. To continue securing reserved time slots, a renewed package must begin no later than 10 days after completion of the previous agreement.

If personal training sessions remain after the expiration date, they may be converted into workout-assignment credits at a rate of four workout assignments for each remaining personal training session.

Freezing Policy

A client may postpone a package’s expiration date for up to 14 days. A freeze may be used no more than twice per year and no more than once per agreement. A freeze must be requested at least four weeks before its start date. If the coach is on vacation, the freeze applies to all clients and extends the “no usage tracking” period.

Release of Liability

This section applies to one-on-one personal training, buddy personal training, online personal training, and workout-assignment personal training.

You represent that you are in good medical condition and have no medical reason or impairment that could prevent you from participating in your intended training session or using a facility. You understand that participating in activities offered by your trainer involves various risks, and you voluntarily accept those risks.

You agree that Sweat Pros, doing business as John Destacamento, its employees, and its independent contractors will not be liable for injury—including bodily or mental injury—economic loss, or damage to you, your spouse, guests, unborn child, or relatives resulting from negligence during participation in personal training services, whether related to exercise or otherwise. John Destacamento will not be held liable for defective products or equipment.
